Summary

The Sales Operations Specialist will be responsible for various strategic projects and time sensitive deliverables associated with supporting a large sales organization. Manage projects, follow up on tasks, and take ownership of projects with minimal supervision across multiple deliverables including but not limited to proposal management (RFI/RFP/RFQ), content/library management, executive visits, contract/vendor support and administrative/clerical responsibilities. The role will require a person who wants to optimize processes, standardize best practices, and enjoys working and training sales reps with new technology. This position requires a critical thinker who can quickly execute tasks and can support other team member projects as needed. This role is critical to ensure the sales operations team meets its monthly KPIs while focusing and embracing new technology needed to optimize sales productivity.

Essential Functions

  • Proposal Management -• Coordinate and track the generation of content related to developing a compelling response by translating requirements, sales strategy and solutions into engaging, customer-ready documents. As workload allows, this position will be tasked with client research, data mining, and support activities• Generation of proposal related content, documentation, archiving and reporting dashboards for National Sales.• Will support the proposal manager and the National sales team by writing customer-focused proposals, RFP responses and customer presentations.• Assess requirements for appropriate response formatting and deliverables to meet client expectations.• Work with the Sr. Proposal Manager to establish and help enforce adherence to the proposal development schedule• Develop proposal by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable and evaluation; writing, revising, and editing drafts including executive summaries, conclusions, and organization credentials• Prepare presentation by evaluating text, graphics, punctuation and grammar review• Assure that all proposal documents and graphics remain in compliance with solicitation requirements and Proposal Manager instructions• Maintain quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases• Maintain version control of all proposal documents and frequent, consistent, clear communication with subject matter experts to ensure disparate proposal sections from multiple authors can be consolidated into a clear and compelling final submission

  • National Sales Executive Visit Management and Support• Client share of wallet analysis across FMS/SCS/DTS divisions, briefing documents summarizing meeting objectives, aggregation, and final proofing of all customer presentation material.• Works with internal subject matter experts to build a customized presentation to meet customer needs, proofreads and ensures branding and presentation guidelines are met, and coordinates all on-site/off-site meeting arrangements required for the successful completion of the customer visit.• Collaborate with the Ryder account team to ensure a comprehensive analysis of the customer and identifying any potential issues that may arise during the visit.• Adhere to the case management visit process in SFDC and update any monthly reports needed for senior leadership review.

  • ContentResponsible for reviewing marketing collateral and repurposing sales material into targeted and customized presentations that sales reps can use with both prospects and customers when quoting new business or retaining existing business

  • Vendor Management• Manage vendor/contract invoicing and payment across all sales enablement platforms• Act as primary contact for team related Workday issues• Provide Administrative support to department VP and other senior leaders as needed• Work with financing resources to ensure P&L responsibilities match contract terms and conditions

  • Sales Enablement software platforms ( SAVO, Seismic, Qvidian, Proposal Pro) intermediate required

  • Understanding of CRM software (Salesforce.com / Oracle) beginner required

  • Proficient with Microsoft Office Suite( PowerPoint , Word, Excel ) intermediate required

  • proficient knowledge of Ryder information systems including SCS/FMS Salesforce.com, RIDE and EDW platforms intermediate preferred

  • Proficient with Adobe Pro Suite intermediate required

Qualifications

  • Bachelor's degree required Marketing, Journalism, English, Communications, related field or 4 additional years of required experience

  • Two (2) years or more proposal development role or similar required required

  • One (1) year or more supporting large sales organizations with centralized decision-making responsibilities required

  • One (1) year or more Ryder information systems including SCS/FMS Salesforce.com, RIDE and EDW platforms preferred

  • 0 to One (1) year Transportation related industry preferred

  • Sales Enablement software platforms ( SAVO, Seismic, Qvidian, Proposal Pro) intermediate required

  • Understanding of CRM software (Salesforce.com / Oracle) beginner required

  • Proficient with Microsoft Office Suite( PowerPoint , Word, Excel ) intermediate required

  • proficient knowledge of Ryder information systems including SCS/FMS Salesforce.com, RIDE and EDW platforms intermediate preferred

  • Proficient with Adobe Pro Suite intermediate required

  • Other Association of Proposal Management Professionals (APMP)
